Privacy Policy

This Privacy Policy explains what information DisputeMatchPro collects, how we use it, who we share it with and the choices you have. DisputeMatchPro (disputematchpro.com) is operated by MD5TO, Port Saint Lucie, Florida (“we,” “us”). By using the site, you agree to this policy.

The short version

  • We use what you type in the letter generator to build your letter and email it to you.
  • We never ask for your full Social Security number. Please do not type it into our tools.
  • After your letter is sent, we keep only your email address, the letter type and the date, so we can send you a 30-day reminder. We delete that record after 90 days.
  • We do not sell your letter details.
  • We use cookies for analytics, ads and affiliate tracking. You have choices about them.

Information we collect

Information you type into the letter generator

To create your letter, the generator asks for details such as:

  • Your name and mailing address
  • The recipient (a credit bureau or a debt collector)
  • Account details you choose to enter, such as the account name as shown on your report, the last 4 digits of the account number, the reason for your dispute and dates
  • Your email address, so we can send you the letter

We do not ask for your full Social Security number, full account numbers, passwords or bank login details. Your letter may have spaces where you can add information like a date of birth or Social Security number by hand after you print it, if you choose. Please do not type sensitive numbers into the generator.

Newsletter and reminder sign-ups

If you sign up for our newsletter or the 30-day dispute tracker, we collect your email address and your subscription choices.

Messages you send us

If you email us, we receive your email address and whatever you include in your message.

Information collected automatically

Like most websites, we and our service providers collect some information automatically when you visit, such as your IP address, browser and device type, pages you view, the site that sent you to us, and general location (city or region). We collect this using cookies, pixels and similar tools.

How we use your information

  • To create and email your letter. Your letter is generated so we can email it to you. That is the main reason we collect letter details.
  • To send reminders you asked for. If you choose the follow-up option, we email you when the response deadline is near or has passed.
  • To send our newsletter, only if you sign up. Every email has an unsubscribe link.
  • To run and improve the site, fix problems and understand which pages and tools are useful.
  • To show ads and track affiliate referrals, as explained below.
  • To protect the site and prevent fraud, spam and abuse, and to follow the law.

Free accounts (optional)

You can use the letter generator without an account. If you choose to create a free account, we store:

  • Account details: your email address, a securely hashed password, and the name and mailing address you add to your profile so your next letters are pre-filled.
  • Saved letters: the letters you create while signed in, so you can download them again and follow your dispute plan. Letter content is stored encrypted, along with the letter type, the recipient type and the date.

We keep this information until you delete it. You can delete any saved letter, or your whole account and all of its letters, at any time from My account. We never ask for your full Social Security number.

How long we keep information

  • Letter details (name, address, account details): used to build and send your letter. If you do not use an account, we do not keep these details in our database after your letter is emailed. If you are signed in, your letter is saved to your account as explained above. [CONFIRM: that the generator and email system delete letter content after sending, and whether the email provider keeps a copy of sent emails, and for how long.]
  • Reminder record: we keep only your email address, the letter type and the date the letter was created, so we can send the 30-day reminder. We delete this record 90 days after the letter is created. [CONFIRM: retention period; 90 days is the default and can be changed.]
  • Newsletter subscribers: we keep your email until you unsubscribe, plus a short suppression record so we do not email you again by mistake.
  • Emails you send us: kept as long as needed to answer you and keep normal business records. [CONFIRM: period.]
  • Analytics data: kept according to our analytics provider’s settings. [CONFIRM: Google Analytics retention setting, for example 14 months.]

Keep your own copy of your letter. If you do not use an account, we do not store letter content, so we may not be able to send it to you again.

Who we share information with

We do not sell the information you type into the letter generator. We share information only in these cases:

  • Email service provider. We use an email provider, such as Brevo, to send your letters, reminders and newsletters. The provider acts as our processor and handles data on our behalf under its own security and data processing terms. [CONFIRM: email provider name.]
  • Hosting and technical providers that run the website and keep it secure.
  • Analytics providers, such as Google Analytics and Google Search Console, which help us understand how the site is used. [CONFIRM: analytics tools in use.]
  • Advertising partners that may show ads on our pages and may use cookies to measure or personalize ads. We may show ads from Google AdSense on blog articles (never inside the letter generator, finders or tools). Google and its partners use cookies to show ads based on your visits to this and other sites. You can turn off personalized ads at Google Ads Settings and learn more at How Google uses information in advertising. As an Amazon Associate, we also link to Amazon, which may set its own cookies when you click.
  • Affiliate partners and networks. When you click a partner or /go/ link, the partner or affiliate network may set a cookie so it can credit us for the referral. We do not send your letter details to partners. If you sign up with a partner, that company’s own privacy policy applies to what you give them.
  • Legal reasons. We may share information if the law requires it, to respond to a valid legal request, or to protect our rights, our users or the public.
  • Business transfer. If our business is sold or merged, information may transfer to the new owner, who must follow this policy or tell you about changes.

We never contact credit bureaus, creditors or collectors on your behalf, and we do not send them your information.

Cookies and your choices

Cookies are small files saved by your browser. We and our partners use them to:

  • Remember choices like your language
  • Measure traffic and how tools are used (analytics)
  • Show and measure ads
  • Track affiliate referrals

You can block or delete cookies in your browser settings. You can opt out of Google Analytics with Google’s browser add-on, and you can control personalized Google ads in Google’s ad settings. Some ad networks let you opt out through industry tools such as the Digital Advertising Alliance’s choice page. If you block cookies, some parts of the site may not work as well. [CONFIRM: whether a cookie banner/consent tool will be used.]

We treat a Global Privacy Control (GPC) signal from your browser as a request to opt out of the sale or sharing of your personal information for targeted advertising, where the law requires it. [CONFIRM: that the site can detect and honor GPC.]

How we protect information

We use reasonable safeguards, such as encrypted connections (HTTPS), limited access and trusted service providers. No website or email system is 100% secure, so we cannot promise perfect security. Email is not always encrypted end to end, which is one more reason not to put full Social Security or account numbers into any online tool. If a data breach affects your personal information, we will notify you as required by law, including Florida’s Information Protection Act.

Your rights

Wherever you live, you can ask us to:

  • Access the personal information we have about you
  • Delete your personal information, including your reminder record or newsletter subscription
  • Correct information that is wrong
  • Stop marketing emails, at any time, by clicking “unsubscribe”

To make a request, email hello@disputematchpro.com from the email address you used with us. We may need to confirm your identity before we act. We will respond within the time the law requires, and usually within 30 days. We will not treat you differently for using your privacy rights.

California residents (CCPA/CPRA)

If you live in California, the California Consumer Privacy Act, as amended by the California Privacy Rights Act, may give you extra rights. To the extent these laws apply to us, you can:

  • Know what categories and specific pieces of personal information we collect, where it comes from, why we use it and who we share it with
  • Delete personal information we collected from you, with some exceptions
  • Correct inaccurate personal information
  • Opt out of the “sale” or “sharing” of your personal information for cross-context behavioral advertising
  • Limit the use of sensitive personal information (we do not use sensitive personal information to infer characteristics about you)
  • Not be discriminated against for using these rights

Categories we collect: identifiers (name, email, mailing address, IP address); limited account information you choose to enter in a letter (such as the last 4 digits of an account number); internet activity (pages viewed, clicks); general geolocation; and inferences used for ads by ad partners.

Sale and sharing: We do not sell the information you type into the letter generator. However, if we use advertising or affiliate cookies, California law may treat that as “sharing” for targeted ads. You can opt out by emailing hello@disputematchpro.com with the subject “Do Not Sell or Share,” by using a GPC signal, or through your cookie settings. [CONFIRM: add a “Do Not Sell or Share My Personal Information” link in the footer if ad or affiliate cookies are used and CCPA applies.]

You may use an authorized agent to make a request. We may ask the agent for proof that you gave permission and may ask you to confirm your identity. [CONFIRM: whether MD5TO meets the CCPA thresholds; even if not, these rights can be honored voluntarily.]

Other U.S. state privacy laws

Several states, including Colorado, Connecticut, Virginia, Texas, Oregon and others, have their own consumer privacy laws. Depending on where you live and whether a law applies to us, you may have the right to access, correct, delete or get a copy of your data, and to opt out of targeted advertising, the sale of personal data and certain profiling. You may also be able to appeal if we deny your request. To use these rights or appeal a decision, email hello@disputematchpro.com with the word “Appeal” in the subject line if you are appealing. If we deny your appeal, you may contact your state attorney general.

Florida residents

We are based in Florida. The Florida Digital Bill of Rights applies mainly to very large companies, and we do not expect it to apply to us. [CONFIRM: with a lawyer.] Even so, Florida residents can use all of the rights described in “Your rights” above. Florida’s Information Protection Act requires us to take reasonable steps to protect personal information and to notify you if a breach affects it.

Children

DisputeMatchPro is for adults. It is not meant for anyone under 18, and we do not knowingly collect personal information from children under 13 or anyone under 18. If you believe a child gave us personal information, email hello@disputematchpro.com and we will delete it.

Links to other sites

Our site links to government sites, partners and other websites. We do not control their privacy practices. Please read their privacy policies before you share information with them.

Changes to this policy

We may update this policy from time to time. When we do, we will change the “Last updated” date below. If we make a major change to how we use your information, we will post a notice on the site or email you if we have your email address.
